What Buyers Should Verify Before Sample or PO Release

A useful compliance review does not stop at asking whether a file exists. It should confirm that the document matches the product family, variant, shipment scope, and integration use that your team will actually purchase.

Document owner and product scope

Confirm whether the file covers the full product family, a specific variant, a material set, or a production lot. This prevents a valid declaration from being applied to the wrong motor configuration.

Revision and date control

Ask which revision is valid for sample, pilot, and mass-production stages. If magnet grade, cable, adhesive, insulation, or packaging changes, the document revision should be checked again.

Restricted-substance and import expectations

Align RoHS, REACH, or customer-specific restricted-substance lists with the destination market and the compliance expectations of your end customer.

Component versus final-system responsibility

Motor-level documents support equipment review, but they do not replace end-system certification, EMC testing, or safety approval for the complete machine.

Common Compliance Mistakes

  • Assuming a generic declaration automatically covers every custom winding, cable, sensor, or packaging change.
  • Reviewing compliance files after sample approval, when a document gap can already delay the first shipment.
  • Confusing component-level support documents with full end-equipment certification.
  • Not freezing the document checklist before repeat orders or supplier changes.

Information to Send With a Compliance Request

  1. Destination country or region and any end-customer compliance requirements.
  2. Product family, variant, drawing number, or mechanical envelope limits.
  3. Materials or configurations that are customized for your program.
  4. Review milestones: sample, pilot, mass production, and import deadline.
  5. Required format: signed PDF, lot-specific declaration, QC summary, or supplier document list.

Buyer Responsibility Boundary

We can prepare support documents for the motor, manufacturing process, and shipment. The buyer should validate whether those documents satisfy their market, application, final system, and regulatory authority before import or resale.

How to Use These Documents in Internal Approval

  • Attach document revision to the same approval file as CAD, datasheet, and physical sample.
  • Record which file applies to sample, pilot, and mass production; do not mix versions without traceability.
  • If the end customer requires a specific format or signature, state that requirement before production release.
  • Use QC summary and lot traceability to connect compliance files with goods receiving.
